The Challenge

A growing food delivery company was managing customer orders through a fragmented system of email and Excel spreadsheets. Every order required 5-10 minutes of manual data entry, with multiple agents often reviewing the same emails. Order changes required manual updates across multiple spreadsheets.

For the customer service team, that meant a dispatcher could open a new order email, retype customer and order details into Excel, check whether another teammate had already processed it, and then update multiple spreadsheets again when the customer changed the order. The process was slow, duplicated effort, and created avoidable errors as order volume grew.

Our Solution

We implemented a comprehensive CRM system that automatically processed e-commerce orders, created a unified customer database, and automated order updates. The system eliminated manual email processing and spreadsheet management.

Before and After:

  • Before: agents manually retyped order details from email into spreadsheets, checked whether another teammate already handled the order, and updated multiple files when a customer changed something
  • After: orders imported into the CRM automatically, linked to the customer's order history, triggered the right customer notifications, and gave the team one place to view or modify the order

Technical Approach: Built on Laravel with MySQL database architecture. Integrated with e-commerce platform APIs for automatic order import. Implemented Stripe for payment processing and SendGrid for automated customer communications.

Order imports were designed to prevent duplicate records. Each inbound order used the e-commerce platform's external order ID as a unique reference, so retries or repeated imports could update the existing record instead of creating a duplicate. During the parallel-run period, the team reconciled imported orders against the legacy spreadsheets before cutover.

Implementation Strategy: Three-month phased implementation with data migration from Excel spreadsheets. Parallel operation period to ensure accuracy before full cutover. Comprehensive training for customer service team.
